Rental Agreement
This Holiday Rental Agreement is made by and between Preseli Venture and (Guest) as of the date of accepting the terms and making a booking. For good and valuable consideration, the sufficiency of which is acknowledged, the parties hereby agree as follows:
1. Property
The vacation rental property is located at:
Preseli Venture, Parcynole Fach, Mathry, Pembrokeshire SA62 5HN
And includes all appliances and amenities as provided. A full list is included in the inventory.
2. Maximum occupancy
The maximum number of guests for the eco barn is limited to 8 people.
3. Term of the lease
The vacation rental lease begins at 4.00 pm on (“Check-in Date”) and ends at 10.00 am on (the “Check-out Date”). Failure to adhere to the check-out time may result in an additional late fee set as discussed in advance of the stay.
4. Minimum stay
The Eco Barn requires a 2-night minimum stay. Longer minimum stays may be required during holiday periods. If a rental is taken for less than 2 days, the guest will be charged the 2-night rate.
5. Rental rules
Guest agrees to abide by the Rental Rules at all times while at the property, and shall cause all members of the rental party and anyone else Guest permits on the property to abide by the following rules at all times while residing at the property.
6. Access
Guest shall allow Homeowner access to the property for purposes of repair, inspection or emergency. Homeowner shall exercise this right of access in a reasonable manner by giving at least 8 hours notice (unless in case of emergency).
7. Rental rate and fees
a) Deposit: A deposit of 50% is due at the time the booking is made.
The deposit is non-refundable and applied toward the rental fees. If the premises appear dirty or damaged upon Check-in, Guest shall inform Homeowner immediately.
b) Full Rental Rate: Payment in full of the rental due shall be paid within 28 days of the Check in date.
8. Cancellation policy
If Guest wishes to cancel the reservation:
The deposit will not be refunded.
The balance payment will not be taken if cancellation is made at least 28 days before check-in date.
Once the balance payment has been made, this will not be refunded.
The Homeowner may also be entitled to cancel the Guest’s stay if house rules are broken during rental period.
9. Insurance
We encourage all renters to purchase their own holiday insurance in case of unforeseen circumstances, accidents or other issues that may prohibit Guest from traveling or fulfilling rental terms.
We recommend that if Guests are taking part in adventure activities, they should check that their insurance covers activities as well as the accommodation.
10. Payment
Acceptable payment methods are: credit card/debit card.
All payments, unless otherwise specified, will be processed on the vacation rental website.
By clicking ‘I Agree and Accept this Holiday Rental Agreement’ at the point of booking, Guest is giving permission for their credit card/debit card to be charged for the total amount of the booking.
By accepting Preseli Venture’s terms and conditions, Guest is agreeing that all rental monies once paid are non-refundable as per the cancellation policy above, and that they have read their rights to purchase travel insurance.
Eco Barn House Rules
Complying with these House Rules at the Vacation Rental Property is a requirement of the vacation rental agreement. Failure to adhere to the below House Rules may result in penalties such as deductions from the security deposit.
1 General Requirements:
All Guests (and any Visitors) must comply with all House Rules and any other instructions from the Property Managers Sophie and Nick Hurst during their stay; and Guests must notify the Property Managers of any disputes or complaints from neighbours as soon as reasonably practicable.
2 Noise and the neighbourhood:
This Vacation Rental is suitable for children under the age of 5. Guests are fully responsible for the safety and security of their children at all times, as well as any disturbance caused to other residents in the Neighbourhood.
Guests and Visitors must keep noise to a minimum as not to disturb the occupants of neighbouring properties – especially during night time hours (11pm – 8am), and upon arrival and departure.
Excessive noise is prohibited at all times and may result in termination of the vacation rental agreement, eviction, loss of rental paid and extra charges which may be deducted from the Security Deposit.
3. Visitors
Guests are allowed a maximum of 4 Visitors at any time during their stay.
Guests are responsible for ensuring maximum visitor numbers are not exceeded; and that Visitors are complicit with these House Rules.
Any additional overnight Visitors must be approved in advance during the booking process and are subject to an additional fee as noted in the price subject to the limit of 8 guests permitted to stay.
4 Functions
Parties and large gatherings of any kind are strictly prohibited at the Vacation Rental.
Any small gathering must comply with other rules set regarding Noise, the Neighbourhood and Visitor numbers.
5 Parking
Guests and any Visitors are to comply with parking regulations and other requirements set out below and show consideration to neighbours and other vehicles.
Parking arrangements at the Vacation Rental are as follows:
Space for 3 cars immediately outside the property on the hard-standing, with space for a 4th car lower down the driveway where needed.
6. Rubbish and Recycling Disposal
Guests and their Visitors are to dispose of Rubbish and Recycling in accordance with the usual practice at the Vacation Rental (as set out below) in the allocated rubbish and recycling bins, and excess rubbish must not be left in public or common areas;
Rubbish and Recycling arrangements at the Vacation Rental are as follows:
In the kitchen there are separate labelled bins and containers for separating your general waste and recycling as required by our local bylaws:
- General waste (non-recyclable items including soft plastic coverings, plastic bags)
- Glass
- Plastic containers and metal cans and tins
- Cardboard
- Paper
- Waste food
Once the kitchen bins are full please dispose of into the labelled large green wheelie bins and black bins outside around the side of the house.
7. Security
Any time Guests leave the Vacation Rental, it is their responsibility to ensure all windows and doors are closed/locked to maintain security and prevent rain and water damage. Guests must switch off lights, fans, electronics such as televisions when not in use to promote energy saving.
8. Balcony area
Guests must supervise any babies and children at all times when using the Balcony area. Specific Balcony rules are as follows:
Do not climb onto the balcony railings and guests are not permitted to climb out onto the house roof. The solar panels will get damaged and there is clear risk of injury.
Please be mindful of sliding doors onto balcony. Doors must be closed when you go out and at night as rain will damage wooden floors.
9. Smoking
Smoking is not permitted inside the Vacation Rental.
Cigarette butts must be disposed of properly (i.e. in ashtray provided) and not thrown on property grounds. Failure to do so will result in a deduction from the security deposit.
10. Pets
Pets are permitted at the Vacation Rental.
Specific rules regarding Pets at the Vacation Rental are as follows:
A maximum of 2 dogs are allowed and dogs must not be allowed on the furniture. Any damage caused by your dog chewing or scratching the interior of the house or furniture will be deducted from the damages deposit.
There are a few old towels provided in the porch for rubbing your dog down to prevent excess dirt and wet in the house.
11. Barbeque and fire pit
A charcoal barbeque and fire pit for burning logs is provided for use by guests and is located in the back garden. Logs can be purchased from the owners so please message or WhatsApp or call them and they will deliver the logs at £8 per trug. Guests need to provide their own charcoal.
Please store barbeque and garden chairs underneath the balcony where it is dry.
12. Garden areas for Eco Barn private use only.
Guests are welcome to use the front garden area and the pull-up bar (at their own risk).
There is also a garden area at the back of the house and guests are also welcome to use the lower grassy area at the back of the house which is defined by a perimeter fence. Please keep dogs and children within these outside areas as other neighbouring cottages have their own private areas too.
13. Damages and Breakages
All Damages and Breakages must be reported to the Property Manager as soon as reasonably practicable. Failure to report them will likely result in a penalty deduction from the security deposit.
To avoid Damages and Breakages, no furniture is to be moved from one room to another without prior agreement.
No bathroom towels are to be removed from the property (i.e. for beach use). Please therefore provide your own beach towels.
14. Check Out arrangements
Rules for key handover, security, cleaning, rubbish and recycling disposal are as follows:
Close all windows and external doors upstairs and downstairs, and lock back and front doors.
Tidy the house and place all your rubbish and recycling in the bins and containers provided in the kitchen or outside.
Leave the front door key in the key box when you depart.

16. Compliance
Breach of any of these House Rules is a breach of the Terms and Conditions of occupancy as per the Rental Agreement.
The Owner and Manager reserve the right to terminate permission to occupy and to evict from the Vacation Rental, any Guests or Visitors who refuse to follow these House Rules or who cause a nuisance to neighbours or other residents of the community.
Activities
- Preseli Venture is a booking agency and does not deliver the activities advertised on this website. We work with several activity providers whose trips are bookable through our website.
- When you book activities through us, you are agreeing to the terms and conditions of the provider whose activity you are booking. These will be available to you at the point of booking and you will need to agree to them in order to complete the booking process.
- If you have any questions about the terms of your booking after completing your booking, please contact the provider directly.
- If you wish to cancel or amend your booking, please contact the provider directly to arrange this.
- We urge you to purchase the appropriate travel insurance to cover you for all activities booked through us. If you need to cancel the activity, please be aware of the refund policy of the provider and do not ask them to break these terms. You should be prepared to claim the amount lost via your insurance.
- Please make sure you know where the meeting point of the activity is. You will never be asked to meet at Preseli Venture for activities. The location will be confirmed on the booking page of the activity and/ or in your confirmation of booking. If you are unsure, please check with the provider directly. Refunds will not be issued to participants who arrive at the wrong location.
- It is important to ensure you are appropriately dressed or bring the appropriate gear as detailed on the booking page and/ or your confirmation of booking.
- For some activities, you will be asked at the time of booking to complete a medical declaration form and/or waiver for each participant. Please ensure these are completed and submitted in the timeframe requested by the provider before the activity date.
- Most activities will go ahead in a broad range of weather. In the event of adverse weather conditions affecting the activity, e.g. no swell for surfing or very high winds for kayaking, your activity provider will contact you with options for rescheduling, swapping to a more weather-appropriate activity that day or refunding you. This will be in accordance with their terms and conditions and subject to availability.
